An Austin pediatric clinic chain stuck at 47 new patients per month
A 6-location pediatric clinic chain based in Austin, Texas, serving families across Travis, Williamson, and Hays counties. The practice had been operating since 2014 with strong clinical reputation, but new patient volume had plateaued at 47 to 52 bookings per month for over two years. Two competing pediatric groups had opened locations in the same neighborhoods during that period, and the practice was losing share to clinics with stronger online presence.
Why families could not find them online
The practice had three structural problems. First, Google Business Profiles for the 6 locations had inconsistent NAP data (name, address, phone), and 3 of them had no posts updated in 14 months. Second, the website ran on an outdated template with a slow appointment intake form that took new families 9 to 11 minutes to complete. Third, Google Ads spend was running at $7,400 monthly with a cost-per-new-patient of $186, and the campaigns were sending traffic to the homepage rather than location-specific landing pages.
What we rebuilt across local SEO, ads, and intake
We rebuilt the local SEO presence first. All 6 Google Business Profiles were cleaned, completed, and put on a weekly post schedule covering seasonal pediatric topics. We launched location-specific landing pages with neighborhood references, pediatrician bios, accepted insurance lists, and embedded review widgets. The Google Ads account was rebuilt around 12 hyper-local campaigns, one per pediatric specialty and neighborhood. We also installed a reputation management system that asked happy parents for Google reviews at 48 hours post-visit through SMS. On the software side, our engineering team built a custom appointment intake portal that pre-loaded insurance carriers, accepted scan uploads from the front camera, and reduced the new patient intake from 11 minutes to 3 minutes.
The 5-month results across patient bookings and reviews
By month 5, new patient bookings reached 218 per month, up from 47 at the start. Cost per new patient acquisition dropped from $186 to $43. Google review count across the 6 locations grew from 287 to 1,840, with average rating moving from 4.3 to 4.8 stars. The patient intake completion rate jumped from 61% to 94% after the new portal launched. Google Business Profile views grew from 12,400 to 89,200 monthly across the 6 locations. Three of the 6 clinics hit booking capacity within month 4 and started adding evening hours to absorb demand.
How the rebuild changed their expansion timeline
The practice had been planning to open a 7th location in 2027 based on the previous growth rate. With the new lead volume and patient retention, they accelerated the plan and signed a lease for the 7th location during month 6 of the engagement. They also hired 2 additional pediatricians ahead of schedule to keep up with appointment demand at the existing locations.
