CONFERENCE AND BUSINESS EVENT VIDEO
Conference video production for the stage and what comes next
Record the important sessions and turn your event into content that remains useful after the room empties.
Elatre provides conference video production for organizers who need session recordings, interviews, highlight videos and post-event edits. We work from your agenda and delivery needs, coordinating the recording requirements with your venue and event team before the first speaker takes the stage.
For conference organizers, associations, corporate marketing teams and business event producers.

Capture the sessions and create content people can use afterward.
START WITH THE COVERAGE PLAN
Decide what must be recorded before the event begins
A conference can produce several very different videos. The keynote recording preserves the complete presentation. A recap shows the event experience. A speaker interview answers one question in depth. A short clip gives your marketing team something relevant to share. Clear priorities help the crew capture the material each edit needs.
We plan around the agenda, simultaneous sessions, speaker access and your final deadlines. Recording requirements are agreed separately from livestreaming or venue AV so every team knows its responsibilities. The brief identifies the sessions covered, the people involved and what you will receive afterward.
Elatre can connect the finished material with B2B video production and social media marketing. That helps turn a one-day event into a useful collection of presentations, interviews and follow-up content, with each version prepared for a particular audience and channel.
Event video production starts with what people should be able to watch after the doors close. A corporate event may need full talks for attendees, recap videos for the next event and short clips for sponsors. These are different edits with different audiences. We agree the list before filming so the crew captures the speakers, room, audience and supporting shots each edit needs.
Recap videos work best when they tell a clear story about the event. We plan the opening, key moments and closing message alongside the schedule. Short interviews can add context, while captions help people follow the content without sound. Your team reviews names, titles, sponsor details and permissions before the agreed files are delivered.

WHAT YOUR EVENT CAN PRODUCE
Conference content with a purpose beyond the recording
The production scope is built around your event. Choose the coverage and final edits you need, then confirm the crew, access and equipment arrangements to support them.
Keynote and panel recordings
Output: Edited session recordings in the agreed viewing format.
Breakout session coverage
Output: A room-by-room recording schedule and labelled session files.

BEFORE, DURING AND AFTER
How we plan conference video production
Live events offer limited opportunities to repeat a moment. Preparation focuses on the schedule, the recording requirements and the practical arrangements that support them.
01 · Review your event and priorities
Output: A coverage brief and proposed deliverables.
02 · Coordinate access and technical needs
Output: A recording schedule, contact list and agreed responsibilities.
03 · Record the agreed coverage
Output: Recorded material matched to the production brief.
04 · Edit, approve and prepare for use
Output: Finished videos organized for the next stage of publication.
QUOTE AND DELIVERY DETAILS
Make the scope clear before reserving production time
Conference video production costs depend on event duration, location, room count, concurrent sessions, crew, recording setup and the amount of editing. A single keynote and a three-day conference require different coverage. Travel, additional filming and specialist requirements are confirmed as part of the quote.
Delivery timing depends on the volume of material and the number of finished versions. If a sponsor needs an early clip or the recap has a firm launch date, identify that before booking. Same-day edits require a different workflow and should never be assumed to be included.
Captions should be reviewed for names, terminology and meaningful audio. W3C caption guidance explains their role in making recordings accessible. For a separately agreed live stream, YouTube live-stream testing guidance is a useful reference: test representative audio and video before the event and match the stream to the available connection.

Conference video production questions
Practical answers about planning, delivery and working together.
The scope may include planning, session recording, interviews, event footage, editing, graphics, sound and captions. Full presentations, highlight films and social clips are separate deliverables with different production needs. We agree the covered sessions, recording time, finished versions and review process in advance. Venue AV, livestreaming, hosting and photography are discussed separately so the quote accurately reflects the work you need.
Concurrent sessions need an explicit recording plan. Send the agenda and room list so we can assess the required people, equipment, sound access and editing workload. You may decide to cover every session or prioritize selected rooms. The agreed scope states which sessions are included; it should never rely on an assumption that a single camera operator can be in several places at once.
Recording a session and broadcasting it live are different requirements. Livestreaming needs its own platform, connectivity, production and testing plan. If you need it, include that in the initial brief so feasibility, responsibilities and costs can be assessed with the venue. A conference recording package should not be treated as a promise of a live broadcast unless the proposal explicitly includes it.
We coordinate with the venue or AV contact on microphone coverage, sound-feed access and how presentation material will be supplied or captured. Audience questions and panel speakers need particular attention because the recording depends on their audio too. Slides and speaker names should be provided in an agreed format. The setup is reviewed before the sessions covered by the production scope begin.
The schedule depends on the number of recordings, interviews, graphics, caption requirements and finished versions. A short recap and a large session library have different editing workloads. We agree delivery milestones and review dates before the event. If a particular clip is time-sensitive, flag it early so the production and editing plan can account for that priority.
Send your event date, venue, draft agenda, room count and the videos you want afterward. Include the venue AV contact if available, any livestreaming requirement, deadlines and approximate interview needs. Share examples to explain the intended style, along with access or speaker restrictions. We can then identify missing details and put together a scope for coverage, editing and delivery.
